CASTL delivers specialized training in biopharmaceutical manufacturing to post-secondary students and industry employees through e-learning courses, in-class and virtual theory training and hands on training. With headquarters and the first biomanufacturing training facility open in Charlottetown, Prince Edward Island, CASTL is expanding its national network with training facilities opened in Quebec and British Columbia. 
CASTL is the exclusive provider of the National Institute for Bioprocessing Research, and Training (NIBRT) licensed training programs in Canada. Based in Ireland, NIBRT develops and delivers state-of-the-art training and education programs for the world’s leading biopharmaceutical manufacturing companies and partner academic institutions. CASTL is supported by National Lead Partner adMare Academy. The adMare Academy provides the specialized training required to foster the next generation of highly qualified personnel who will drive the growth of Canadian life science companies. 
The Training Administrator will support the effective delivery of CASTL training programs through implementation, coordination, management and administration processes, systems, documents, and record management related to training programs in CASTL’s academic and industry training streams. This role will be responsible for providing excellent customer service to our clients, balancing multiple tasks, and communicating professionally with internal and external parties. 
As the training administrator, you will be the face of the organisation to clients and trainees arriving at our Vancouver Biomanufacturing Training Facility. You will also represent the organisation as a point of contact with external service providers and vendors. Strong customer service skills, organisational skills, time management and communication skills will be integral to the role.

The Training Administrator is the point of contact for trainees participating in onsite training at our Vancouver Biomanufacturing training facility, through online live lectures, and through academic partnership training delivery. The Training administrator is responsible for maintaining files and training records, supporting the training team on site, maintaining the classroom and kitchen within the facility, and providing excellent customer service.

Salary Range: $80,000 - $90,000
 

What will you be doing?

Support the effective delivery, and operation of the Vancouver Biomanufacturing Training Facility while providing exceptional customer service by:

  • Acting as the main point of contact for all individual trainees and directing inquiries to trainers and management as required.
  • Supporting the registration process and client service process outlined for trainees including but not limited to:
    • Collecting the relevant trainee information
    • Ensuring all paperwork is completed by trainees
    • Providing relevant information to support trainees in traveling to the facility and answering all relevant questions
  • Working closely with the trainers and the Client Services team to organise, manage and maintain the training schedule for the Vancouver Biomanufacturing Training Facility and virtual training delivery for both industry and academic training streams.
  • Maintain the classroom, meeting, and office space so that it is presentable to guests in coordination with trainers, cleaning staff etc.
  • Provide administrative support for the purchasing and inventory maintenance of training and facility consumables when required.
  • Maintain, distribute, modify and keep records of documentation that supports effective training such as consent forms, waivers, certificates of completion, training schedules, print materials for trainees, etc.
  • Support the development and implementation of trainings delivered and keep record for audit and reporting purposes.
  • Support the maintenance of training documentation library and manage communication.
  • Support and document training team processes and assist with administering evaluations.
  • Ensure end-to-end exceptional customer service.
  • Attend industry events in the Greater Vancouver area on behalf of CASTL as needed.
  • Support the local technical training team with preparation and delivery of training modules where required.
  • Work closely with the marketing team to ensure appropriate branded materials are on site.
  • Support CASTL hosted events as well as helping to prepare CASTL team members in preparation for attending conferences, trade shows and events.
  • This is a term position being offered until March 31, 2026 with the possibility of extension.

Required education and experience

The Training Administrator will have three to five years of demonstrated experience in:

  • Relevant post-secondary education or demonstrated capacity.
  • Strong interest in life sciences and education.
  • Maintaining records and files according to defined processes.
  • Experienced user of MS Office Suite including especially PowerPoint and Word
  • Customer service experience.
  • Strong communication skills
  • Contributing to maintaining version control and adherence to defined branding guidelines.
  • Stron communications and relationship building skills to support CASTL's clients.
  • Ability to work in collaboration with internal and external stakeholders.
  • Experience in coordinating events
  • Strong attention to detail.
  • Support the overall operations of the team and collaborate with team members on projects.
  • Other dutier may be assigned from time to time.
